About the job
The Operations Coordinator will report to the Chief Operations Officer (COO). S/he will act as the primary contact for potential service recipients as well as the initial point of contact for all inquirers. This person will be responsible for recording client details and gathering information necessary for project assessments. The Operations Coordinator should be highly organized and detail-oriented. S/he will have excellent interpersonal skills, with a strong aptitude for great customer service.
Responsibilities
Operations Coordination
Answer phone and email inquiries
Maintain Operation’s calendar and schedule
Welcome guests and volunteers to the Servants’ facility
Perform clerical work such as filing and data entry
Case Work
Receive initial contacts from potential clients and perform an initial interview/assessment of needs
Record calls and potential clients in various databases and forms
Schedule assessment meeting for Directors and other staff
Maintain accurate client forms and records and assist with opening and closing files
Volunteer Coordination
Schedule volunteers for service in coordination with Director of Operations
Maintain operations calendar and schedule

Education and Experience
At least 2 years of overall professional experience in a social services setting

Required Skills
Strong interpersonal skills and ability to work well with people, including people in crisis
Strong communication skills; ability to write well and communicate effectively, specifically over thephone, through letters and email
Strong computer skills, including Microsoft products and team collaboration platforms
Bi-lingual (proficient in both English and Spanish) preferred
Strong organizational skills and excellent attention to detail
Occasional availability to work evening or weekend hours
Physical Requirement
Prolonged periods sitting at a desk and working on a computer
Must be able to lift up to 15 pounds
Must be able to navigate various departments of the organization’s physical premises
